Impact Washington is seeking a motivated individual with proven technical and communication skills to fill our Project Logistics Coordinator position. This person will demonstrate strong attention to detail and organization skills while working with the account executive and financial and operations teams to support the project execution side of the business.

This key role will involve developing and maintaining strong relationships with your coworkers on the account executive team. There will also be a high level of coordination and communication with Impact Washington’s network of resource partners. Customer satisfaction and meeting customers' expectations is a significant part of our success and building relationships within manufacturing in Washington state. This role is critical to ensuring we deliver services to support our clients.

Impact Washington is Washington's official Manufacturing Extension Partnership (MEP) representative. We serve as the industry's voice, working with local, state, and federal agencies. We are committed to helping build a thriving manufacturing industry across the entire State of Washington by providing a wide array of operations and operational consulting services tailored to small - and medium-sized manufacturers.

Job Summary:

Under the direction of the Director of Business Development, the Project Logistics Coordinator is responsible for coordinating resources, materials and managing project schedules to completion. Project Logistic Coordinator’s role includes project setup in our Salesforce/PSA system, tracking schedule changes, regular check-in with resources, and weekly status reports to the account executive team.

General Responsibilities:

  • Commit to becoming a technical resource for our team and our resource partners.
  • Review and organize executed contract documents for new projects in partnership with the account executives.
  • Review project budgets and resource partner allocations with operations and sales teams for scheduling.
  • Work alongside the accounting team to review the project's financial status and process the project's invoices and expenses. 
  • Organize project details, schedule, and status for Impact Washington teams to provide visibility using Financial Force / Salesforce / PSA system.
  • Coordinate and host weekly project meetings to ensure accurate coordination.
  • Daily communication with resource partners to facilitate action on upcoming projects and services to completion.
  • Assist in maintaining project materials, solution kits, and allocation for projects.
  • Assist account executives in projects and project completion plans.
  • Attend weekly meetings with operations, account executives, and resource partners to review execution and service projects.
  • Compiling data to create meaningful reports for the business development, operations, and executive teams.
  • Be a responsive, dedicated team member focused on quality and detail.
  • Collaborate alongside the IT manager to implement system updates and improvements.
  • Collaborate in documenting operations procedures and keeping current ones up to date.

Requirements:

  • B.S./B.A. in Business, Industrial Engineering, Operations Management, Project Management, or another similar field.
  • Proven written and verbal communication skills, as well as exceptional organizational skills.
  • Proven ability to learn and adapt to new software and technologies efficiently.
  • Proficient in using MS Office (Excel, Word, PPT)
  • Strong ability to do adequate research on our industry and customers.
  • A team player with strong interpersonal skills with the ability to communicate both internally and externally.
  • Positive attitude, self-motivated, and ability to multi-task while maintaining strong attention to detail.
  • Meets deadlines, prioritizes appropriately, copes well with change, and maintains composure under pressure.

Preferred:

  • Prefer understanding of the manufacturing industry.
  • Knowledge of Continuous Improvement such as Lean/Sigma, Lean, Workforce, Leadership
  • Proficient in Financial Force / Salesforce / PSA system
  • Knowledge of state and federal contracts.

Salary Range:

$60,000 - $85,000
